Privacy Policy

Last updated: October 15, 2026

Career-Manager is a tool for running a job search. This policy explains what we collect, why we collect it, and what you can do about it. It describes what the product does today, while it is in beta.

What we collect

  • Account details. Your name, your email address, the role on your account, and how you signed in.
  • Resume and profile information. The resume and documents you upload, your work history, your strengths assessment answers, and the preferences you set for your search.
  • Where you're based. If you set it, the city, the state or province, the country and the timezone that goes with them. It sets the clock and the dates you see, the state-specific resources we offer you, and your job search. We never store coordinates or a street address.
  • Gmail messages and Google Calendar events for an account where email and calendar detection is on. The next section covers this in full.
  • Call recordings, transcripts and summaries. When you switch recording on for a call, a notetaker joins it, and the recording is processed into a transcript and a summary.
  • Notes and activity inside the app. The opportunities, contacts, notes, next actions and timeline entries you build while you use it.
  • Screenshots you add. They are read to fill in the details, and the reading is what is kept. Unless you tick to keep a screenshot with the opportunity, the picture is not filed with it and is not shown anywhere in the app.
  • Payment status. Whether your subscription is active and which plan you are on. Card details are handled by Stripe. We never see or store your full card number.
  • Messages you send us. What you write through the support bubble, with the page and the device you sent it from. We keep it so we can reply and improve the app.

Gmail and Google Calendar

Email and calendar detection is off until a Google account is connected. When it is on, Career-Manager reads that account using these Google permissions:

  • https://www.googleapis.com/auth/gmail.readonly to read Gmail messages.
  • https://www.googleapis.com/auth/calendar.readonly to read Google Calendar events.
  • email and openid to identify the account and its address.

Every one of those permissions is read only. Career-Manager cannot send, delete, label or change anything in your Gmail, and it cannot create or change anything in your calendar.

With those permissions we read the messages and events that relate to a job search: recruiter mail, interview invitations and confirmations, assessment and application updates, offers, rejections, and the replies you send back. Because a job search runs through a mailbox rather than a folder, new mail is screened as it arrives so that a recruiter reply is not missed. Messages that turn out to be unrelated are read and then dropped without being filed. For a message that matters we store what describes the search: the sender, the subject, the company, the role, the times, and the lines that support a summary or an alert.

What this means for your account today

During the beta, detection runs on the Google account that the account owner has connected to Career-Manager. If detection is not enabled on your account, your Gmail and your Google Calendar are never read, and the app asks you to add opportunities yourself instead, by pasting a job link, a job description or a recruiter email.

Career-Manager's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we use your information

We use it to run the product for you: to work out from your mail and calendar that an interview, a rejection or an offer happened, to build call summaries, transcripts and fit scores, to answer your Ask AI questions from your own records, and to show your pipeline and your next actions.

We do not sell your personal data. We do not use it for advertising, and we do not share it with anyone except the service providers listed below.

AI processing

Parts of Career-Manager use AI. When one of them runs, the content it needs is sent to our AI provider and the result comes back into your account:

  • Email screening, to work out whether a message is an interview invitation, an offer, a rejection or nothing relevant.
  • Call transcripts, to produce a summary, action items, and the facts a call revealed.
  • Job descriptions and your profile, to produce a fit score and the reasons behind it.
  • Ask AI, which answers from your own pipeline, meetings, transcripts and notes.
  • Documents you upload, to extract their text and a short summary of them.

Content is sent to produce your own results. It is not shown to other users.

How long we keep it

  • Recording video: kept for 7 days on the Free plan and 90 days on Pro. Video older than that is cleared by hand for now, because the automatic cleanup is still being built.
  • Transcripts and summaries: kept until you delete them. The transcript is also held in the form the page displays it in, so it opens without being put together again.
  • A call's analysis: the read of a call, and the coaching on it, are stored against the recording and kept on the same terms as the transcript.
  • Account data: kept while your account is open. When you delete your account your records are removed at that moment rather than on a delay, and the screen you land on lists what was removed.

Who processes data for us

We use a small number of service providers. Each one handles data only so that the product works:

  • Base44 hosts the app, stores the database and private files, and provides the AI models we call. The Google connection is stored securely, and we never store Google tokens ourselves. Under Base44's current terms for our plan, data stored in the app may be used by Base44 to improve its AI models. We are working toward a setup where it is not.
  • People Data Labs receives an email address, and nothing else, for a contact you add yourself and choose to look up. It never receives your email content, and it never receives a contact that came from your Gmail or your Google Calendar.
  • Stripe processes payments. Card details are entered on Stripe and never reach us.
  • Recall.ai records and transcribes the calls you choose to record, and sends the notetaker to them.

These also handle data, for the parts of the product listed with them:

  • Google provides Gmail and Google Calendar access for a connected account, and Google sign-in where it is used.
  • logo.dev returns a company logo for a website domain.
  • Resend sends the app's emails from support@career-manager.com.
  • GitHub, Stack Overflow and LeetCode return public profile statistics when you add one of those profiles.

Your choices and your rights

  • Disconnect Google. You can turn email and calendar detection off in Settings, which stops the app reading them.
  • Revoke access. You can also remove Career-Manager's access from your Google account at myaccount.google.com/permissions.
  • Change or remove your location. Settings, then Account, has the one field that sets where you are based. You can change it or clear it at any time, and clearing it leaves the app on your browser's timezone.
  • Export your data. Settings has an export. It builds a spreadsheet of your opportunities, activities, contacts, interviews, retrospectives and profile, plus your recorded calls with the analysis and coaching stored for each one, and emails you the link. That link is not private yet, so keep it to yourself.
  • Delete your account. Settings, then Privacy and Security, then Delete Account. One run does all of this: it cancels your subscription immediately so no further charge can be taken, revokes Career-Manager's access to your Google account, stops any notetaker that is still booked and asks the recording provider to delete its recordings, deletes every record you own across every table we hold, takes you off the waitlist, and then deletes your account record itself so your email address is no longer held by the app. You land on a screen that lists what was removed, including anything that could not be finished, and we email you the same summary as our last message to you.
  • Two things are not instant. Stripe keeps the payment records for the subscription you paid for, because tax and accounting rules require it. That is the customer record and your past invoices. The contents of a file you uploaded are detached from your account immediately, so nothing in the app can reach them, and the stored file itself is deleted by hand, so write to support@career-manager.com if you want that confirmed and we will finish it within 30 days.
  • Ask us. Write to support@career-manager.com for a copy of your data, a correction, or any question about this policy.

Changes to this policy

We will update this page when the product or the rules change, and the date at the top will change with it.
